Who we are

Convitronix Ltd is a company registered in England & Wales under Company No. 17031390. Our registered office is at 2 Kel Avon Close, Truro, TR1 1AN. This policy covers convitronix.com and any other Convitronix Ltd subdomain. In this policy, "we", "us", and "our" refer to Convitronix Ltd. You can contact us at admin@convitronix.com for any privacy-related matter, including to exercise the rights described below.

What data we collect

We only collect personal data that you send us directly, either by emailing us or by completing an enquiry form on one of our pages. Our enquiry form asks for your name, your email address, a short description of what your organisation does, and a description of the task you would like help with. That includes your name, the email address you contact us from, and anything else you choose to include in your message (for example, your company name, role, or a description of what you're trying to solve).

When you submit the enquiry form, a copy of what you sent is also written to a private file on our web server, so that your enquiry is not lost if the email notification fails to send. That file is not reachable from the internet, and it is covered by the same retention period as the rest of your enquiry correspondence.

We do not collect data passively as you browse. We do not run analytics or advertising trackers on this website.

Cookies and similar technologies

We do not set any cookies of our own and we do not run analytics or advertising trackers. Our pages load a typeface from Google Fonts, which means Google receives your IP address in order to serve that file. We use no other third-party resources of this kind. Our hosting and infrastructure providers, and any payment processor used during a checkout flow, may set strictly necessary functional cookies that are required to deliver the service you have requested, for example, to keep a session secure or to prevent fraud during a payment. These cookies are permitted without consent under UK ePrivacy rules because they are essential to the service.

Why we collect it

We use the information you send us to respond to your enquiry, to scope a possible engagement, and, if we enter into a contract, to deliver the services you've asked us to deliver.

Our lawful bases under UK GDPR are legitimate interest (responding to enquiries you have initiated) and contract (taking steps at your request before entering into a contract, and performing a contract once one exists).

How long we keep it

Enquiry correspondence is kept for up to twenty-four months from the date of last contact, unless we enter into a contract. Where a contract is entered into, project records and correspondence are retained in line with standard UK business retention requirements (typically six years for accounting and tax purposes).

Who we share it with

We do not sell your data and we do not share it with third parties for advertising. The only third parties who may process your data are providers of the tools we use to run the business. These are Hostinger, who host this website and the server that receives your enquiry form submission; Google, who provide our email and therefore handle the enquiry notification and any reply we send you; and, where you make a payment, Stripe, who process card details directly and securely, so that we never see or store full card numbers. We do not use a third-party form service.

International transfers

Some of the third-party providers we use to run the business, including our hosting provider, our email provider and our payment processor, may store or process personal data on servers located outside the United Kingdom, including in the European Economic Area and the United States. Where this happens, we rely on appropriate safeguards under UK GDPR, the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or adequacy regulations made by the UK Secretary of State, so that your data continues to receive an equivalent level of protection.

Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you
  • Have inaccurate data corrected
  • Have your data erased, subject to legal retention requirements
  • Restrict or object to certain types of processing
  • Receive your data in a portable format
  • Complain to the Information Commissioner's Office at ico.org.uk if you are unhappy with how we have handled your data

To exercise any of these rights, email admin@convitronix.com. We will respond within one month.

Updates

We may update this policy from time to time. The "Last updated" date above will reflect the most recent revision.
